We are now looking for an experienced HR professional to join us to lead the people agenda in Japan. The role will own the employee experience locally while working closely with the wider People & Culture team spread around the world.

Our aim is to offer an amazing employee experience in this new hybrid working environment so this role will be responsible for both the physical working environment, as well as people policies and processes, aligning both parts to global principles.

The role will work closely with senior stakeholders and collaborate with peers in other countries and regions. The role reports to the Head of People & Culture Asia, based in Kuala Lumpur, Malaysia and has a dotted line to the Global Head of Office Services and Facility Management based in Finland.

We are looking for an independent and creative thinker who can balance long-term strategic thinking with operational excellence in order to deliver a fantastic employee experience.

It is important that they are able to confidently manage labour law related queries and coach line managers on local regulatory principles, therefore several years of HR generalist experience in Japan is necessary.

There is also a part-time Office Services assistant helping with Office related tasks based in Japan.

Working within a matrix structure, they will be experienced in working across countries, with a centralised HQ team and external vendors.

Key responsibilities :

  • Leading the WithSecure People agenda in Japan, ensuring that the global employee experience is consistently led
  • Owning the local HR compliance matters and ensuring local employee handbooks and policies are relevant, up to date and aligned with global principles
  • Responsible for local benefits management (policies, vendor management, advising employees)
  • Responsible for whole recruitment process in Japan
  • Close cooperation with Payroll vendor and central payroll team
  • Owning the local employee engagement, culture building and wellbeing agenda
  • Owning all employee life cycle stages cooperating closely with the line managers and other support functions like IT, Legal and Finance
  • Supporting and guiding line managers, HQ Business HRs and employees in any employment matters requiring local HR knowledge
  • Owning all local HR administration (offer letters, contracts, government forms, pension systems, insurances)
  • Active collaboration and contribution to the global People & Culture processes and projects by sharing the local perspective & feedback
  • Responsible for all Office Services and administration
  • Managing office related local vendors and invoices
  • Office Security, inc access control, key management and ISO compliance
  • Health & Safety compliance eg Fire & Emergency, First Aid
  • Office Management, including cleaning contract, goods & services, visitor process, parking management, landlord liaison, repairs & maintenance
  • Occasional support in arranging local team events
  • What are we looking for?

  • A self starter with great relationship building skills
  • Passionate about employee experience and improving how worklife ought to be like
  • A base understanding of employment law and regulations related to Health and Safety
  • 3+ years of experience in managing HR matters independently
  • Vendor management and dealing with suppliers
  • Experience working for an international company and in a matrix organisation
  • Fluent in Japanese and English
