  • Accountable for contract management & paralegal support at country level in front of stakeholders
  • The Contract Specialist manages the end-to-end contract process with all contracting stakeholders. He / she is a key contact for the stakeholders during the process.
  • Contracting Specialist is a permanent internal role

  • Accountable for contract management & paralegal support at country level in front of stakeholders
  • Single Point of S2V accountability in front of CHC stakeholders locally related to contract management process.
  • Responsible for managing the Contract lifecycle, including but not limited to draft, modification, execution, amendments, and renewal of Contracts
  • Manage all CHC procurement contracts in Japan and establishing the process end to end in eContract tool.
  • Build strong Business Partnering and maintain stakeholder relationships (e.g with Business end users, Procurement, Legal, GBS and Finance)
  • Collect business pain points and set up improvement projects / actions
  • Manage Change management and Communication related to contract stream
  • Drive continues education of stakeholders
  • Proactively explore best market practices and bring ideas for process improvement. Lead continues improvement projects for contract management stream in Japan
  • Responsible for business continuity and rendering service without business disruption and at high quality
  • Shepherd the Requester through the contract process from end to end and help in the formalization of the contract requests and approve requests and assist with contract request form completion where applicable.
  • Provide 100% support to the requesters and guide them step by step through the contract workflow i.e. elaboration & negotiation , review & approval , and signature and storage
  • Guide the requesters through the appropriate contract levels path (i.e. simple, complex)
  • According to the need & threshold, ensure appropriate participants are included in the contract review and approval processes (Buyer, Legal, Controller and Subject Expat etc.)
  • In charge of simple contract template completion and negotiation within the limits of the playbook (i.e. As authorized by Legal)
  • In case of complex refer to Legal and assist in the completion of the applicable contract request form before transferring it to Legal
  • Coordinate, manage and monitor the internal contract review and approval process and signatures and ensure that contracts are signed by appropriate parties (internally and externally)
  • Dissemination of contract documents to the appropriate parties, externally and internally
  • Ensure final, signed contracts version are adequately stored in Coupa
  • Updates and maintain contract templates in Coupa
  • Working closely with attorneys in the Legal Department, GBS, SBS, and all the functions in the different business areas
  • Communicates company contract policies and requirements to internal managers and employees and highlights areas of concern in regard to individual contracts projects.
  • Accountable to perform local training on Contract Management and support global training initiatives
  • Oversight for contract database and contract templates.
  • Handle client training presentations with respect to company policy, contract approval processes, etc.
  • Contributes to handle any amendments, renewal, etc upon instructions from requester / buyer / contract owners
  • Demonstrate company values on a consistent basis.
  • Prioritize competing projects and set expectations with management.

  • A Bachelor’s Degree and / or Paralegal Certification with 5-7 years’ experience in the contract management field preferred
  • Trained paralegal with 3 plus years of experience in-house corporate legal department, law firm, or governmental agency (healthcare background) preferred.
  • Experience handling a wide variety of contracts, preferably in the pharmaceutical / medical device industry
  • Experience working directly with sophisticated clients, meeting business deadlines, and prioritizing competing projects
  • Proactive, self-motivated and results oriented with the ability to accomplish tasks / objectives independently, reliably and in a professional and timely manner.
  • Ability to work independently with minimal supervision on multiple tasks and provide a high-quality work product, with excellent attention to detail under tight deadlines.
  • Strong analytical, problem solving, interpersonal and organizational skills.
  • Ability to communicate complex legal information to individuals at various levels of the organization.
  • Strong written and oral communication skills in both Japanese and English
  • Maintain the highest ethical standards and respects confidentiality of sensitive matter.
  • Ability to read and understand corporate policies
  • Ability to perform local training on Contract Management
  • Strong computer skills (e.g., Microsoft Outlook, Word, Excel, PowerPoint, Share point)
